Manually sorting through this volume wastes hours daily, and worse, important messages get missed or answered too late, directly hurting client relationships and business opportunities.

MailMind AI is an autonomous email triage and response agent built on n8n that solves this problem end-to-end. It continuously watches a connected Gmail inbox, and for every new email that arrives, it automatically determines whether the message is important or not — without any human needing to open the inbox first.

When an email is important — a meeting request, client query, invoice, proposal, or partnership opportunity — the agent doesn't just flag it: it drafts and sends a short, polite, and professional reply on the business owner's behalf, addressing the sender by their real name and responding appropriately to the content. When an email is unimportant — spam, cold marketing, automated notifications, or newsletters — the agent silently ignores it, keeping attention focused only on what matters.

The system is powered by a large language model (via Groq) acting as the "brain" of the agent, which reasons over each email's content and returns a structured decision: whether it's important, what category it falls into, why, and what the reply should say. This structured-output approach makes the agent's decisions predictable and easy to route through simple logic, rather than relying on fragile keyword rules.

The workflow also includes production-grade safeguards learned through real testing: a deduplication layer prevents the same email from triggering multiple replies when the polling trigger re-detects a message across consecutive checks, and sender-name extraction avoids unprofessional placeholder text like "Dear [Sender]" by pulling the real name directly from the email header.

The result is a lightweight, always-on virtual assistant that protects a business owner's time and reputation simultaneously — important conversations get fast, polite responses even when the owner is unavailable, while noise is filtered out automatically. How the agent works.

Gmail Trigger

Polls the inbox every minute for new email. Every message that arrives enters the pipeline automatically — no human needs to open the inbox first.

Dedupe Processed Emails

A Code node (JavaScript) filters out already-seen message IDs, so the same email never triggers a second reply when the polling trigger re-detects a message across consecutive checks.

Extract Sender Name

A Set node parses the real sender name from the "From" header, so replies are addressed to the person by name — never awkward placeholder text like "Dear [Sender]".

Email Classifier & Reply Agent

An AI Agent node with Groq as the LLM brain and a Structured Output Parser enforcing a JSON schema — returns a decision: important, category, reason, and the drafted reply.

Route the Decision — IF Node

If the email is important, the Gmail node sends the drafted reply in-thread. If it's not, the NoOp node silently ignores it — no action taken.
